What BlockMind does

Each job is prepared for you. You approve what matters.

  • Day-to-day communications handled, with replies drafted for you

Every email is filed to the right conversation with its reply deadline, and a reply is drafted for a director to approve. Nothing goes out until a director says so.

  • Service charge budget set, demands issued, direct debits set up and arrears collected

Next year’s budget and each flat’s share from its lease. Demands with the summary of rights, issued once a director approves. Direct Debits paid straight into your company’s own bank account. Polite reminders, then firmer letters, for anyone who falls behind.

  • Contractor procurement and due diligence

Qualified firms found and asked to quote once a director approves. Quotes compared, and each contractor’s insurance and qualifications checked before a director appoints them.

  • Issue triage and management

Each report is read for what it is, how urgent it is and who is responsible under the lease, with safety first. Then it is tracked from report to completion.

  • Statutory obligations and reports sourced

The duties that apply to your building, such as fire risk assessment, electrical, gas, water hygiene and Companies House filings, with reminders before each is due, and qualified firms found and asked to carry out each report.

  • Full accounts package

Draft service charge accounts and company accounts, the statutory summary and a pack for your accountant.

  • Automatic bank reconciliation

Upload your bank statement and each payment in is matched to a flat for a director to confirm, with anything it cannot match flagged. Your money stays in your company’s own account; BlockMind never holds or moves it.

Coming in November Open banking link: link any UK bank account directly, from November 2026.

  • Transparent information for everyone in the building

Leaseholders see their own account, the budget against spending, works and decisions. Directors see the whole building.

  • Real-time budget tracking

Spending is set against the budget as each bill is recorded, so an overspend shows early.

  • No property or legal knowledge required

It works out which duties apply to your building and explains each step in a sentence.

  • Insurance renewal and claims handling

The renewal date is tracked and the sum insured checked against the rebuild valuation, with a reminder well before renewal. Each claim is followed through with the insurer, with the evidence kept together.

  • Lease extensions handled, at no extra charge

A leaseholder’s notice is logged with its counter-notice deadline, each step is tracked, the draft deed is prepared for the solicitors and the new term is recorded against the flat. Solicitor and valuer fees, where a lease extension needs them, are separate.

  • Manage your building in as little as 5 minutes each week

Your routine job is to look at what is waiting and approve or decline it.

  • Hosted in the UK, in London
  • Company and directors filled in from Companies House
  • Directors verified by letter
  • Your money never passes through us
  • Export everything, no exit fee

Who it is for

Built for the people who actually run the block.

Resident management companies

The company’s money, letters and building work in one place, with no director doing the bookkeeping.

Right to manage companies

Take on the management without taking on an agent’s fees or an agent’s delays.

Leaseholder-owned freehold companies

Run the freehold fairly, with a clear record for every flat and every decision.

2 to 30 flats. No property law or bookkeeping needed.

The problem

Running a block should not be a second job.

  • Volunteer directors carry legal duties they never trained for.
  • Managing agents are expensive, and often slow to act.
  • Software that only stores records leaves the work with you.

For decision makers

Why directors choose BlockMind.

The five things directors ask about first, and how BlockMind answers each.

  1. Legal duties and deadlines

Volunteer directors answer for the company meeting its legal duties, whether or not they trained for them. BlockMind works out which duties apply to your building from what you tell it, and tracks each deadline with reminders well before it falls due.

In practice: Tell it the building has a lift and lift inspections join the plan. Say there is a shared gas boiler and the gas safety check joins it too.

  2. Your time

Most directors have jobs and families. BlockMind prepares the work itself: demands, reminders, letters, accounts and replies. Your routine job is to look at what is waiting and approve or decline it.

In practice: Setting up takes about ten minutes with your company number. Companies House fills in the company and its directors.

  3. Cost

BlockMind is £9.50 per flat per month, with year-end accounts, lease extensions and the assistant included. A typical agent charges a management fee, then adds a charge for much of what matters: arrears letters, sales packs, accounts and lease extensions.

In practice: A 12-flat block pays £1,368.00 a year. A typical year with an agent, with one sale, two arrears cases, the accounts and one lease extension, comes to about £5,540 plus VAT. Agents’ fees vary, so compare with your own agent’s schedule.

  4. Control

Nothing important is sent without a director’s approval, unless you choose to let that kind of action run. BlockMind never pays anything: your money stays in your company’s account and your directors make every payment.

In practice: Every action is labelled: done under a setting you chose, or approved by a director, with who and when.

  5. Fairness to your neighbours

Arrears are handled the same way for every flat: polite reminders first, then firmer letters, each approved by a director. Your neighbours are treated consistently, whoever is on the board.

In practice: No arrears letter is prepared while a Breathing Space moratorium, an agreed payment plan, an insolvency or a bereavement is recorded, and no fee is added unless your directors switched charges on.

The difference

Does the work, not just keeps the records.

Each job is prepared for you to approve. These are the screens your directors will use.

Repairs and planned maintenance

Issues tracked from report to completion. Foreseeable maintenance and the cycles your lease requires, such as decorating, go into a maintenance plan with reserve planning. Contractors are asked to quote once a director approves, quotes compared and insurance checked.

Leaseholders looked after

Each leaseholder sees only their own flat: balance, how to pay, statements, letters and reporting an issue. The complaints and information request registers track every response deadline.

Ask your building

An assistant that knows your lease, and shows its working.

Ask in plain English. The answer comes from your lease and records, with the clause and page it relied on.

Wren Yard sample data
  • Answers about the lease cite the clause and page, and say whether a director has verified the term.
  • Leaseholders can ask about their own flat too, so fewer questions reach the directors.
  • It drafts. You approve. Nothing is sent until a director says so.

Control

You stay in control.

Nothing is sent without your approval, unless you choose to let it.

Every action is labelled: done under your setting, or approved by a director.

Letters go out in your company’s name.

Your records belong to your company. Export everything, any time, no exit fee.

In development

Fewer incidents. Fewer claims. A better case at renewal.

BlockMind keeps your building’s safety checks, repairs and maintenance up to date, and records every incident and how it was put right. We are developing a renewal evidence report with insurance partners, so well-run blocks can show insurers the difference.

Where a building chooses to buy insurance through a broker we introduce, any fee we receive is credited to the building’s account against its monthly charges.

Cost

BlockMind never forgets a deadline, shows everyone the same facts, and includes the letters and accounts an agent charges extra for.

How it works

From company number to a running building.

  1. Sign up with your company number

Companies House fills in the company and its directors.

  2. Add your building and what you know

Nothing is compulsory. Add leases, people and history whenever you like.

  3. Let it run

It asks you only for decisions, spending above your limit and facts only a director knows.

Answers

Common worries, answered.

Plain answers to what directors ask before they start.

Read all answers

Is BlockMind a managing agent?

No. It is software your directors use to run the block. Your company stays in charge, decisions are yours, and letters go out in your company’s name.

It prepares and tracks the routine work, from service charge demands and arrears to repairs and compliance, and asks a director only when a decision is needed.

What if it gets something wrong?

Nothing important happens without the safeguards. Spending above your limit, legal notices and letters wait for a director, who sees what each one relies on before approving it.

Every action is recorded with who approved it, and any fact can be corrected at any time, so anything can be checked and put right.

Do you hold our money?

No. Service charges are paid into your company’s own bank account. BlockMind matches the payments to each flat; it never holds or moves your money. Payments out are made by your directors.

What happens if a director leaves, or we disagree?

Directors are checked against Companies House and verified by letter. When a director leaves, a remaining director ends their access; the records and the history of who approved what stay with the company. The last director cannot be removed by mistake.

Every decision is recorded with the director who made it. How the board settles a disagreement stays a matter for the company and its articles.

Can leaseholders see each other’s information?

No. Each leaseholder sees only their own flat: balance, statements, letters and how to pay, plus building information the directors share. They can report issues and ask questions. They never see another flat’s account.

This is enforced in the database itself, not only by what the screens show.

What if we want to leave?

Leave at any time, with no exit fee. Your records belong to your company: a director can export the whole building as one ZIP file, with the ledger, correspondence, documents and decisions as spreadsheet files, and every attachment.

Is the AI trained on our data?

No. Your building’s data is not used to train AI models, ours or anyone else’s. The assistant reads your records only to answer the person asking, and only what that person is allowed to see.

What does it cost?

£9.50 per flat per month after 30 days free. A 12-flat block pays £1,368.00 a year, with year-end accounts, lease extensions and the assistant included. There are no hidden BlockMind fees.
